Organizational Setting

The Division of Human Resources maintains a pipeline (roster) of qualified applicants interested in temporary General Service administrative support positions at the IAEA’s Headquarters in Vienna and its laboratories in Seibersdorf (Lower Austria). Qualified candidates available for short-term administrative assignments are encouraged to register, create personal profiles and submit their applications online.

How does this pipeline work?

Recruitment for General Service positions is made on a LOCAL BASIS ONLY, therefore applicants must be legal residents in Austria.

Applications will be screened and evaluated on a regular basis before the deadline. Therefore, we encourage candidates to submit their applications as soon as possible.

Verification of educational credentials and employment history, testing and interviewing will be part of the selection process.

Successful applicants will be included in a roster and may be offered temporary administrative support assignments at the General Service level.

Types of Engagements

The IAEA is looking for candidates who possess expertise at various levels in one or more of the following areas:

  • General office administration
  • Meeting organization
  • Travel assistance
  • Drafting correspondence and written communication
  • Logistical assistance
  • Records filing and archiving
  • Report and document administration
  • Inputting, storing, organizing and maintaining data
  • Project administrative support
  • Support for procurement, shipping, deliveries, etc. for laboratories

Competencies and Expertise

Core Competencies

Communication - Communicates orally and in writing in a clear, concise and impartial manner. Takes time to listen to and understand the perspectives of others and proposes solutions.

Achieving Results - Takes initiative in defining realistic outputs and clarifying roles, responsibilities and expected results in the context of the Department/Division’s programme. Evaluates his/her results realistically, drawing conclusions from lessons learned.

Planning and Organizing - Plans and organizes his/her own work in support of achieving the team or Section’s priorities. Takes into account potential changes and proposes contingency plans.

Qualifications, Experience and Language Skills

For the areas mentioned above, the general requirements are as follows:

  • Completed secondary education (high school diploma).
  • Minimum of four years of relevant work experience providing administrative support in an office or laboratory setting.
  • Computer literacy.
  • Ability to work with a high degree of accuracy and attention to detail in a busy office environment.
  • Collaborative communication and teamwork skills as well as the ability to work effectively among people of different national and cultural backgrounds with sensitivity and respect for diversity.
  • Experience in organizing and administering (virtual) meetings and events is an asset.
  • Knowledge of procedures and administrative guidelines in an international organization is an asset.
  • Fluency in written and spoken English. Knowledge of other IAEA languages (Arabic, Chinese, French, Russian or Spanish) an asset.


The IAEA offers an attractive remuneration package, including a tax-free net base salary. Remuneration level will be determined by the grade of the short-term assignment.

Recruitment will be on a LOCAL BASIS only.

Appointment is subject to a satisfactory medical report.

In line with current IAEA rules and regulations, staff members holding temporary, non‑fully competitive assignments can be considered for a maximum period of two years on aggregate service.

Registration within the Pipeline does not constitute any formal obligation on the side of the IAEA to offer any type of employment.
